Introduction

Compliance by design from day one

Persona Nutrition is a Seattle-based direct-to-consumer vitamin and supplement subscription business. Founded in 2016, the company ships personalized daily-dose vitamin packs to customers across the U.S. every 28 days.

Peter Weiss, the company’s CFO, understood the compliance math before Persona Nutrition shipped its first order. An ecommerce business selling into every U.S. jurisdiction meant multi-state sales tax obligations were inevitable.

Peter didn’t wait for a nexus threshold to force his hand. He built compliance into Persona Nutrition from day one.

What he couldn’t predict was how their previous sales tax provider could mishandle it.

Challenge

A legacy provider, a growing mess

The company’s incumbent vendor had been accumulating problems for years:

  • 3-4 compliance notices per month from states flagging late, missing, or inaccurate filings.
  • Months to resolve issues, with no accountability and no callbacks from support.
  • Billing that couldn’t be reconciled. Multiple invoices per month with line items that didn’t match the contract or usage.
  • Pricing that had escalated to a level Peter described as “Insane. It was becoming a material impact on my overall income statement”.

Peter’s controller was spending hours every month trying to untangle the accounts. The balance sheet couldn’t be reconciled, and the vendor didn’t have answers.

With a contract renewal approaching, Peter had weeks, not months, to find an alternative.

Solution

Finding TaxCloud: SST participation narrowed the field fast

Peter’s search was methodical and brief. His first filter: Persona Nutrition’s future vendor had to be a Certified Service Provider under the Streamlined Sales Tax program which, at the time, left Peter with only five options.

One was the incumbent. Others couldn’t meet the timeline or didn’t inspire confidence. TaxCloud cleared every threshold.

  • SST participation confirmed. Persona Nutrition qualified for SST, and TaxCloud could activate it correctly, saving both time and money.
  • Pricing that made sense. Transparent pricing with no escalating fees as volume grew. “Other alternatives were going to charge me disproportionately for incremental volume. TaxCloud’s pricing model was way better in terms of my overall economics.”
  • Pre-sale support that set the tone. Before signing, Peter’s team spoke directly with TaxCloud’s support team to stress-test what they’d be getting into. The answers were quick, direct, and unambiguous.
  • API integration in 3–5 weeks. Persona Nutrition runs on a custom tech stack, not an off-the-shelf ecommerce platform. TaxCloud’s API handled it. “All of our work was done within a very few days. It was as close to plug-and-play as it’s ever going to be given the potential complexity.”

Results

From constant fire drills to compliance on autopilot

A year after switching, Persona Nutrition’s CFO barely thinks about compliance.

  • Cost. “My costs to manage sales tax compliance with TaxCloud are well under 10% of what the previous vendor was charging. And our previous vendor’s pricing penalized us for growth. Every increase in volume meant a disproportionate increase in cost. With meaningful growth coming, we were going to spend a lot more.”
  • Compliance notices. Down from 3-4 per month to roughly one per quarter. Resolution time dropped from months to a couple of days. “You call us back. They didn’t.”
  • Controller time. Peter and his controller estimate she saves 6-10 hours per month that previously went toward chasing discrepancies, responding to state notices, and attempting to reconcile the sales tax account.
  • Reconciliation. For the first time, Persona Nutrition can close its sales tax accounts cleanly every month. “We can now reconcile our balance sheet every single month. We could not do that before.”
  • Support. Peter was asked whether the support experience had been “fairly positive.” He pushed back: “I said fairly positive. No — it’s extremely positive.”

“I don’t think about compliance anymore. This kind of service should become completely out of mind. And TaxCloud is damn close to being completely out of mind.” For a CFO sitting six miles from Microsoft and four miles from Amazon, that’s not a throwaway compliment.
